From Excel and WhatsApp to a TMS: a 30-day guide for a transport company
You can move from Excel and WhatsApp to a TMS in four weeks if you proceed in phases: first master data and documents, then planning, then the driver app and finally measurement. The key is not to change everything at once and to start with what avoids the most legal risk.
Why many implementations fail
It is almost never the software that fails: it is the change. People try to migrate everything at once, drivers do not use the app, the office keeps its Excel "just in case" and nobody trusts the data. This plan reduces the risk by working week by week.
Week 1: master data and documents
- Register vehicles (plate, type, capacity, tachograph, licence class they require).
- Register drivers and their licences, CAP and cards.
- Upload documents with their expiry date: vehicle inspection, insurance, authorizations, ADR.
- Load your regular clients.
*Result:* you already know what expires and when. Even if you did nothing else, you gain peace of mind.
Week 2: planning in the panel
- Create the real trips of the week in the system.
- Assign them on the chart by vehicle and day.
- Keep using your usual channels with drivers in parallel.
*Result:* the office already works from a single source of truth.
Week 3: driver app with a pilot group
- Choose two or three motivated drivers.
- Have them add the app to the home screen and try the next destination, trip status and delivery with photo and signature.
- Collect their complaints and adjust.
*Result:* the app works in your operation, with your routes and your coverage.
Week 4: the whole fleet and measurement
- Roll the app out to the remaining drivers.
- Stop using Excel and WhatsApp to assign trips and justify deliveries.
- Measure at the end of the month: trips without a delivery note, time needed to prepare a departure, expiries caught in time, compliance incidents.
Tips for adoption
- An internal owner of the change.
- 15 minutes of training for drivers, not a course.
- Clear rules: what is not in the system does not exist.
- Start with what avoids a fine, not with what improves a report.
What to expect from Fleetaria at each stage
Fleetaria lets you start with documents and vehicles, plan on the chart, activate the driver app (PWA, no app store, with offline mode) and review compliance status in the panel. Today it only includes basic internal invoicing (not VeriFactu-certified) and does not send email or push notifications, so keep your current invoicing tool if you need legal invoices.
Frequently asked questions
How long does transport software take to implement?
For a fleet of 1 to 20 vehicles, a phased four-week plan is realistic if one person is dedicated to it and you start with master data.
What data should be loaded first?
Vehicles, drivers and their documents with expiry dates. It is what reduces legal risk the most and the quickest to load.
How do I convince the drivers?
By showing them that it saves them paperwork and phone calls: they see their next destination, the route and close the delivery with a photo and signature in a few taps.
Can I keep my Excel in parallel?
For a few days yes, but set a date to drop it, or you will have two versions of the truth.
Want to bring this into your daily work?
Fleetaria brings together planning, a driver app and document control for hauliers in Spain. We will show it to you with your own cases.
