Digital proof of delivery (POD): delivery note, photo and signature from the phone

Quick answer

Digital proof of delivery (POD) means the driver photographs the delivery note, collects the receiver's signature on the phone and sends everything to the office, even without coverage. This cuts paper, speeds up payment and gives you organized evidence if the customer makes a claim.

What proof of delivery is

Proof of delivery, or POD, is the evidence that the goods reached the consignee at the agreed place and time. Traditionally it is the signed delivery note. In digital form, it is that same delivery note photographed, the signature captured on screen and the delivery data.

Why it matters

  • You get paid sooner. Many customers do not pay without the signed delivery note; if it arrives days later, payment is delayed.
  • Fewer disputes. A photo with date, time and signature resolves most delivery claims.
  • Less lost paper. Delivery notes in the glovebox get creased, wet or disappear.
  • Visibility. The office knows the delivery has been made without phoning the driver.

What a good POD should record

  1. A legible photo of the delivery note.
  2. Signature and name of the person receiving.
  3. Date and time of delivery.
  4. Remarks: damaged packages, shortages, refusals.
  5. Optionally, the location.

The coverage problem

The weakest point of driver apps is closing the delivery where there is no data: industrial estates, warehouses, basements. The app must store the photo and signature on the phone and send them when the connection returns, without duplicating deliveries or losing data.

Good practices

  • Ask the driver to photograph the whole delivery note in good light.
  • Define what to do with incidents (rejected or damaged goods) before they happen.
  • File the evidence with the trip so you can find it in seconds.
  • Keep the evidence for as long as your customer and the regulations require.

How Fleetaria does it

The Fleetaria driver app lets the driver close the delivery with a photo of the delivery note and the receiver's signature. It works offline and syncs afterwards idempotently, that is, without duplicating deliveries even if the sync is repeated. If there is a conflict because the trip was changed from the office while the driver had no coverage, the app tells them instead of silently merging the changes. The evidence stays linked to the trip in the panel.

Frequently asked questions

Is a signature on a phone valid?

Its effectiveness as evidence depends on the whole set of proof (signature, photo, date, delivery note data and trip record) and on what the parties agree. Consult your adviser if you need validity in a specific context.

What happens if the driver has no coverage at delivery?

The app stores the proof on the device and sends it when the connection is back.

Do I need to install an app?

In Fleetaria the driver app is a PWA: it opens from the browser and can be added to the home screen.

Can proofs of delivery be stored per trip?

Yes. Each photo and signature is linked to the trip on which the delivery was made.
